Duplicates of documents from the Special Registry

What is the official procedure for obtaining duplicates of documents from the Special Registry?

According to the information provided on the website of the Ministry of the Interior of the Slovak Republic regarding the Special Registry, there are various ways to request a duplicate birth, marriage, or death certificate (official extract from the Special Registry).

 

Methods of Submitting a Request:

  1. By Mail:
    The request can be sent to the following address:
    Ministry of the Interior of the Slovak Republic

    Štefánikova 15
    812 19 Bratislava

  2. By Email:
    The request can also be submitted via email to osobitnamatrika@minv.sk.
    A confirmation of payment of the administrative fee must be attached to the request.
    The processing time for such a request is approximately 4 weeks.

  3. Electronic Service via the Ministry of the Interior’s Portal:
    It is also possible to use the electronic services portal of the Ministry of the Interior of the Slovak Republic to submit a request.
    This method is online and can be accessed directly via the internet.

Administrative Fee:

The fee for issuing an official extract (duplicate) of a registry document is 7 euros.
This fee is set according to Act No. 145/1995 Coll. on Administrative Fees, specifically in item 2, letter b.

 

Payment Methods for the Administrative Fee:

  • eKolok (Confirmation of Administrative Fee Payment):

    • An eKolok can be purchased for the required amount at selected branches of the Slovak Post.
    • This eKolok serves as proof of fee payment.

  • Virtual Kiosk (eKolok Web Application):

    • Alternatively, the eKolok virtual kiosk can be used, available via the web application at https://m.ekolky.gov.sk.
    • Through this application, an eKolok can be purchased online.

Fee Payment Codes:

Depending on the type of request, the appropriate payment code must be used:

  • Request for a duplicate registry document – Code 1039 (official extract from the registry book).
  • Higher authentication for foreign use of official extracts issued by the Special Registry or district office decisions on name and surname changes – Code 658 (authentication of a public document, Apostille/Superlegalization).
  • Issuance of a multilingual standard form (MSF) – Code 7140 (issuance of a multilingual form according to a special regulation).
